Program Registration Information
Overview
- To register for council-sponsored events, individuals
and groups must use the forms specified in each event
description or the event registration form.
- All programs are first come first serve so register
early. We will do or best to accommodate as many groups as
possible for an event. However, due to space limitations, we
may not be able to accommodate all groups interested in
registering for an event.
- Girl Scouts registering for an event as must be
accompanied by a Girl Scout adult who will remain on-site
for the duration of the event unless otherwise noted.
How to Register
- Complete an
Event
Registration Form. The listed “Adult in Charge”
will be the recipient of the event confirmation information.
- Submit registration forms with applicable payment to the
Girl Scout Council office via mail, fax, or walk in.
Registrations will not be accepted without payment and the
completed event registration form. We cannot “hold” spaces
for any reason. If faxing an event registration form, either
include credit card information or call with credit card
information.
- Registrations will not be accepted by telephone.
- Confirmation emails or letters will be sent to those
troops that have successfully registered within 10 business
days of registering for an event. Mail registration forms

Girl and Adult Ratio
- Each Girl Scout group is responsible for providing the
required number of adults who will provide leadership and
supervision to the girls and remain with them throughout the
duration of the activity. All events must meet the
adult/girl ratio as indicated on page 69 of Safety-Wise. In
the case of individual girl registrants, at least one adult
should accompany them to the event/activity.
- Under no circumstances should girls be left unattended
or unsupervised at events.

Refunds/Cancellations
- An event may be canceled if registration is too low or
if there are unforeseen circumstances. If this happens, you
will be notified as soon as possible.
- In the event the program department cancels an event, a
refund check for the full amount will automatically be
issued unless otherwise specified. If an event has less than
the minimum number of registrants, it will be canceled on
the registration deadline and your group will receive a
refund.
- If the troop or individual must cancel their
registration before an event, a GSCFP Program Credit will be
issued—not a refund. Please see Cancellation procedures
below. No refund will be issued for no shows.
- GSCFP Program Credits may be used toward other GSCFP
programs and must be redeemed within the current membership
year.
Cancellations Procedures
- If your troop or any of your registered girls will not
be able to attend an event that you have registered for, you
must let us know in writing at least two weeks before the
scheduled event.
- This information must be received by the Pensacola
Service Center or faxed to the council office at (850)
434-1333 at least 2 weeks prior to the event in order to
receive a GSCFP Program Credit.
- If the council is notified less than 2 weeks prior to
the event date or your group is a no show for an event, then
a credit will not be issued.
Tagalongs
- Due to insurance regulations and safety issues, siblings
and non-Girl Scouts (tag-a-longs) cannot attend or
participate in Girl Scout Program events unless otherwise
specified.
- A tagalong is a child not registered in your troop.
- Do not bring Girl Scout Daisies to Girl Scout Brownie
events, Girl Scout Brownies to Girl Scout Junior events,
etc., due to space constraints and program quality.
